Job Scope and Major Responsibilities:
Greets visitors upon arrival and escorts to appropriate meeting room(s) and/or waiting area
Serves as initial contact on the phone. Routes calls appropriately and/or takes detailed phone messages
Manages partner’s day – to – day schedules and calendars; manages and/or sends meeting invitations
Prepares travel arrangements. This includes but is not limited to managing new and/or existing reservations, ensuring compliance with company travel policies, keeping track of receipts and itineraries
Performs general administrative duties: Basic office filing and organizing, Sets up conference room(s) and/or office spaces before and after important events and/or meetings, Maintains appearance of main studio, kitchen, and conference rooms, Ensures kitchen and bathrooms are clean and stocked properly, Loads and unloads dishwasher as needed, Brews fresh pots of coffee throughout the day, Keeps inventory of office supplies and groceries; makes studio manager aware of low stock items/materials Orders lunch/beverages as needed, Sorts, distributes, and/or sends mail, packages, and deliveries
Assists with initial and/or follow up sales inquiries received via telephone, email, and/or online
Performs basic data entry in CRM database including create new or updating existing sales leads
Maintains company client contact list; adds or edits contacts in Google workspace
Assists marketing team with PR opportunities, social media posts, website and/or portfolio updates, preparing RFP and selected proposal documents as needed
Perform other tasks as needed
Required Qualifications:
1-3 years of relevant experience in an office setting, preferably in an administrative or clerical role
College degree preferred but not required
Maintains the highest level of professionalism and confidentiality
Proficiency with Google Workspace and Microsoft Office
Possesses basic computer skills and can learn new applications
Excellent verbal and written communication skills, is extremely organized and detail - oriented
Exceptional customer service and interpersonal skills
Initiative-taking, courteous and approachable
